Regional Purchase Assistant – PSCMD Procurement

As part of its regional procurement function, the hospital is seeking a highly organised and results-driven Regional Purchase Assistant to join the PSCMD Procurement team on a contract basis.

Reporting to the Procurement Supervisor/Manager, the successful candidate will play a pivotal role in coordinating purchasing activities across the East Africa region — from sourcing competitive quotations and conducting price analyses to liaising with suppliers and internal stakeholders. • Monitor and report on price variances across the East Africa regional network to ensure cost competitiveness and budget adherence.
• Solicit competitive quotes from multiple suppliers, evaluate submissions, and recommend or award orders to the most cost-effective and reliable vendors.
• Engage end users to accurately capture procurement requirements and provide timely status updates on outstanding enquiries.
• Ensure all user requirements are formally confirmed via signed evaluation forms or written email approval before processing regional purchases.
• Follow up proactively with suppliers to guarantee timely responses, order fulfilment, and on-schedule delivery of goods to regional facilities.
• Compile comprehensive purchase order approval documentation, including quote comparisons, negotiated best prices, item availability, and delivery timelines.
• Inform end users and regional institutions of new products, market developments, and supplier updates relevant to their operations.
• Organise and facilitate periodic meetings with regional institutions to align procurement priorities and address supply chain challenges.
• Conduct supplier negotiations to achieve optimal pricing, payment terms, and service levels.
• Support the Capex Team with daily purchasing processes and capital expenditure procurement activities.
• Consolidate and manage import orders for the entire regional network, ensuring compliance with import regulations and institutional policies.
• Prepare weekly, periodic, and quarterly reports including enquiry status updates, price variance analyses, and savings reports for each institution.
• Carry out any additional duties as assigned by the department supervisor or manager.

• Must hold a Bachelor's degree in Purchasing and Supply Chain Management, Business Administration, or a closely related field.
• Must be an active member of CIPS, CILT, or KISM — demonstrating commitment to professional standards in procurement and supply chain.
• Must demonstrate at least 2 years of hands-on experience in a purchasing or warehouse environment, with exposure to supervisory-level responsibilities.
• Must be able to conduct end-to-end supplier sourcing processes: identifying vendors, obtaining quotes, comparing prices, and making award recommendations.
• Must communicate clearly and professionally with both internal stakeholders and external suppliers — both in writing and verbally.
• Must apply strong attention to detail when preparing procurement documentation, price comparison reports, and approval paperwork.
• Must demonstrate integrity and dependability, handling sensitive pricing and supplier information with discretion and professionalism.
• Must be capable of working collaboratively within a cross-functional team in a busy hospital procurement setting.
• Knowledge of warehousing, stock management, and inventory control practices is required.

The salary for this role is competitive and aligned with market rates for procurement professionals at this level within the Kenyan healthcare sector. Estimated monthly compensation ranges between KES 60,000 and KES 100,000 depending on experience and qualifications.
